What you'll do

We are seeking a dynamic and results-oriented Executive Assistant to provide high-quality administrative support to two Senior Directors within the APJ organisation: 1.Senior Director, Solutions Consulting, APJ and 2. Senior Director, Marketing, APJ. The role ensures the smooth running of administrative matters across the region through a dedicated one-on-one working relationship. You will serve as a liaison to the Executives and their teams, coordinating outreach, supporting external relations, and overseeing special projects. The ideal candidate enjoys working creatively in a fast-paced, entrepreneurial environment while exercising good judgment across diverse situations. This hands-on position requires strong communication skills, professionalism, and the ability to maintain a balance among multiple priorities with great attention to detail. 

 

This is an individual contributor role reporting to the Senior Director, Solution Consulting - APJ.

 

 

Responsibility

  • Plan, set and manage the operating cadence of meetings for both executives 

  • Proactive management of executive diaries, to-do lists including anticipating and managing issues to help manage executive workloads

  • Ensure briefing documents and presentations are well prepared in advance for all executive meetings

  • Ensure Executives are across upcoming meetings, agendas and support material, setting up briefing calls in advance to ensure the Executives are fully prepared prior to the meeting and has clear objectives

  • If travelling, ensuring all visas and travel arrangements and briefing documents are aligned and confirmed

  • Research, prioritise and follow-up on incoming issues and concerns addressed to the executives including confidential/sensitive issues and determine appropriate course of action, referral or response

  • Liaise and develop relationships with internal and external stakeholders across the APJ business with the right maturity, positivity, gravitas and influence

  • Project manage APJ strategic projects and priorities, ensuring these are on track

  • Produce high quality documents, presentations and announcements including presentations, corporate announcements (with DocuSign’s Comms team) and internal announcements

  • Expense and travel management

  • Manage onboarding of new AVPs and VPs

  • Organise APJ, Sales and Customer Success team meetings together with relevant internal webinars as required

  • Adhoc duties as directed by Management

 

Job Designation

Hybrid: Employee divides their time between in-office and remote work. Access to an office location is required. (Frequency: Minimum 2 days per week; may vary by team but will be weekly in-office expectation)

What you bring

Basic 

  • 8+ years of experience supporting Executives or Leaders within a high growth organization

 

Preferred

  • Bachelor's or associate degree

  • Experience working for a SaaS Software company

  • A seasoned, experienced professional with a full understanding of their Executives priorities and the ability to priorities holistically to fulfill leadership directives and to execute with an inclusive and global mindset

  • Experience managing complex calendar(s) across multiple time zones with the ability to successfully prioritise competing high-priority requests based on Executives’ needs

  • Experience in project management, particularly influencing and demonstrating effective stakeholder management across different regions and cultures

  • Strong awareness and proven experience working across Australian, Japanese and Asian cultures / regions

  • Ability to demonstrate Docusign values in everything that is carried out

  • Strong ability to build the brand of the executives and to create solid internal relationships and rapport particularly with the leadership team

  • Ability to foster positive working relationships at senior levels of Docusign in addition to building a network of EAs across customers and partners

  • Ability to apply strong business acumen in prioritising and communicating tasks to the Executive’s direct reports

  • Demonstrated proactive approaches to problem-solving with strong decision-making capability

  • Forward looking thinker, who actively seeks opportunities and proposes solutions

  • Experience in tracking KPIs and monitoring progress against strategic initiatives

  • Proven written and verbal communication skills with high attention to detail

  • Ability to maintain confidentiality and practice discretion in everyday work

Wage Transparency

Pay for this position is based on a number of factors including geographic location and may vary depending on job-related knowledge, skills, and experience.

 

Based on applicable legislation, the below details pay ranges in the following locations:

 

California: $X/hour - $X/hour or $X - $X base salary

 

Illinois, Colorado, Massachusetts and Minnesota: $X/hour - $X/hour or $X - $X base salary

 

Washington, Maryland, New Jersey and New York (including NYC metro area): $X/hour - $X/hour or $X - $X base salary

 

Washington DC: $X/hour - $X/hour or $X - $X base salary

 

Ohio: $X/hour - $X/hour or $X - $X base salary 

 

This role is also eligible for the following:

  • Bonus: Sales personnel are eligible for variable incentive pay dependent on their achievement of pre-established sales goals. Non-Sales roles are eligible for a company bonus plan, which is calculated as a percentage of eligible wages and dependent on company performance.
  • Stock: This role is eligible to receive Restricted Stock Units (RSUs).
